Key Responsibilities:

 
  • Event Planning & Logistics:
  1. Plan, organize, and execute internal HR events, such as onboarding sessions, team-building activities, holiday parties, and training seminars. 
  2. Collaborate with HR and department heads to align event objectives with organizational goals. 
  3. Create detailed event plans, including conceptualizing themes, developing event flows, setting timelines, and coordinating on-site logistics. 
  4. Manage event budgets, track expenses, and ensure all costs remain within allocated financial limits. 
  • Vendor & Venue Management:
  1. Source, negotiate with, and manage vendors for services such as catering, venue selection, decoration, and audiovisual equipment. 
  2. Ensure quality control and adherence to contracts with all external suppliers. 
  • On-Site Event Execution:
  1. Oversee event setup, including room layouts, seating arrangements, and decor, to ensure a professional environment. 
  2. Manage on-site operations on the day of the event, acting as the central point of contact and troubleshooting issues as they arise. 
  3. Supervise and coordinate event staff, including volunteers, catering staff, and technical teams. 
  • Communication & Attendee Management:
  1. Develop and execute event communications, including sending invitations, managing guest lists, and coordinating attendee registration. 
  2. Handle pre- and post-event communications with internal staff, speakers, and stakeholders. 
  • Administrative & HR Support:
  1. Maintain accurate event records and logs. 
  2. Support the HR department with administrative tasks related to employee events and meetings. 
  3. Ensure compliance with company policies and health and safety regulations.
